In order to ensure the integrity of our event hosting systems, VP run Event Quality Checks. Hosts should be accommodating to VP officers during these checks.
Anyone who kicks a VP officer out of a voice channel during the course of their duty (a quality check) will be assumed guilty of abusing the event host system and issued a Lack of Integrity strike. This will continue with subsequent offenses.
EHL holders may create an event using out Event Management Tool found under the members tab on the forums.
Events are created with your region automatically. This is only to show the hosts region and the host is not allowed to limit casual events to a specific region, as the host can split the events into sub-channels for other regions if necessary. When creating an event please keep the following in mind:
Use appropriate event names that relate to your event
Use appropriate header images that relate to your event (don't use random images)
The ideal resolution for a header image is 340px in width and 150px in height
We encourage the use of custom banners for your events to give them a personal touch
Double check if your header image is displayed correctly on the Event Page (if it doesn't use an image that does or don't upload in image at all)
Details: This includes what game you will be playing along with the game mode (If applicable) that will be played during the event.
Additionally, if the event is restricted to participants 21 and over, please include "21+" in the description. By adding "21+" to the description, members will know the age requirement for the event.
Region: If a game is region locked, that the host must make note that they may provide a sub-channel for members in another region, provided they have a partner to play with.
Create the Event Log and Start the Event on the Event Management Tool.
Starting the event should occur between the event's start time and 10 minutes after the event's start time on the event page.
It is suggested you do not start the event until 5 minutes after the scheduled time on the event page to allow participants to find and join the event.
Must be available and present for the full duration of the event.
Resolve any conflict that arises during the event.
At any time up until the official start time of the event, the event may be:
Extended (officially on the calendar, this is not the same as the unofficial extension below)
Shortened
Pushed to a later time
Events may not be brought forward (to commence sooner) unless the new scheduled start time is at least 24 hours away. (Eg. You are allowed to move an event forward from 48 hours to 24 hours away. Moving an event forward and leaving less than 24 hours before it starts, so you can participate sooner, is however not permitted - as events still need to meet the minimum 24 hours before it starts.)
An event may be canceled up until the scheduled start time of the event by clicking the Cancel button in the EMT.
An event may be canceled after 10 minutes if there are not enough attendees to run a valid event.
If you are cancelling because of lack of attendance, you should cancel the event through the EMT log, which will show that you were the only person in the channel.
Order of Imperium may cancel events if no registered Imperium Cohort members are present.
Events may be extended for enjoyment but hosts may not award any REP for the time after the event was set to finish on the calendar. This is called "Unofficial Time". Tournaments are an exception and REP can still be awarded to participants, but not spectators.
If the host does not show up for an event in time, another available host may take over hosting and be responsible for all aspects of the event.
If you would like to take an orphaned event, there are two ways to do so:
If it is after the scheduled starting time: open a VP ticket
The VP member on shift will be able to edit the EMT to set you as the host
If it is before the scheduled start time and the event has been properly cancelled, you can take an event by clicking the Pick Up button on the EMT Event Page (example)
When picking up a cancelled event the start time can only be changed to a maximum of 2 hours before or after the original start time.
You cannot change the game or event type for any cancelled events that you pick up.
Social Events are now available for hosting/attending. A social event includes any sort of gathering that falls outside of the realms of gaming. Some examples include:
Karaoke
Movie Nights
VOD Reviews
The biggest thing to remember- there has to be some sort of activity in order to allow an event to be hosted. Events that do not have a described activity will not be allowed to give REP.
Competitive events are available to be hosted by anyone in DI and are meant to help create a fun environment for competitive players. Competitive events include:
Team Tryouts
Team Practices
Scrims
Tournaments
The biggest thing to remember - All Comp Teams that intend to host Team Practices or Scrims must be registered through AFU.
Flex events are now an option when creating an event. Choosing this option will allow for members to join the event at any point during its runtime, and still gain REP based on how much time they were in the event!
Please note, in order to receive REP via REP request, the member will have needed to be in the event for the full duration of the event.
Turbo Charging is a system where more active hosts get more REP for each hosted event. Charging statistics are reset every month, so every month you have to be active for you to benefit from this system. You can see your current Boost Status on the [EMT here]
